We thought we should document the event through photos and videos, below are a few images and clips from the night too show how the night went and so the people who came can remember the evening through the photos. The Night

We all met up at the venue with the DJs and started setting up the room by blowing up the inflatables and decorating in line with the theme of the night. There were CM4K leaflets on the bar for people to read when they went over for drinks. We then set up the DJ equipment and tested out the speakers to ensure everything was working fine. Article for the Verse

The article that we wrote for the Verse was in the end not published. We did not have any answer from the newspaper. The problem is that the article was not only talking about the event itself but also about the Cham gi Wadu community. It could have been interesting to put the light on the community even to the people who were not interested by the event.

Pre-Selling Tickets

Heather contacted the venue owner regarding pre-selling tickets, and he confirmed that we were able to do this. So I posted on the event for people to contact us if they would like to pre-pay for tickets, in order to not be disappointed if we sell out! Advance tickets will be the same price as the tickets on the door to ensure we make as much money as possible.

The Posters

In the interest of further advertising our event to people we might not necessarily know personally we looked to print off lots of posters to put up in multiple locations. We got our poster designs printed at the University and divided them amongst the group to put up in different places as to reach a larger amount of people and ultimately to advertise our event more. Updating the Facebook Event

  I created a post on our Facebook event for the night, which was to inform the 126 people who are currently interested / ‘going’ to the event that we have a maximum capacity of 130 people therefore people who want to come should come early in order to not be turned away. Hopefully this will mean that people will get there when it starts, so will not be empty.

Selling tickets for raffle

We received a message from another group within the class asking if they could buy two of our tickets for one of their raffle prizes, we said yes and suggested that they give us the names of the winners when the names are drawn so we could put them on a list of all the pre-paid ticket holders. This means that we had extra advertisement within the university.

CM4K leaflets

As our event is fundraising for Community Media 4 Kenya and the name of the night is ‘DNB 4 CM4K’ we got hold of a batch of leaflets describing the charity and giving information on what the money raised from the night will go towards. We’ll put the leaflets around the bar and tables at the venue so people can pick them up if they want which will hopefully raise more awareness about the reason for the night.

Help from the RaG society

Again, to promote the event and maximise its success among students we decided to ask the RaG society (which organises fundraising events for charities throughout the year) to promote our event of Facebook and send emails to their members.

Poster and Graphics

We wanted to create an interesting poster that will bring people to our event- as our event is jungle themed we decided to go for an image of a jungle with all the necessary information on the poster. We are going to print out 30 copies of the poster and post them around the university and our accommodation e.g. Varley Park, Paddock Fields and Phoenix . We also have a Facebook banner that we have used on our Facebook event page.  

Visiting The Venue

On Wednesday the 5th of May, we went to the venue to have a look around and pay £120 for the hire of the venue in cash. We had a look round of the facilities and asked any questions we had, such as about security which will be provided, the lighting and the cloakroom. We confirmed that we will begin setting up on the 23rd at 7/8pm, ready for people to begin arriving at 9.30 (hopefully). Buying inflatables

Buying inflatables
We decided to purchase fun inflatables for the event, with some inspiration coming from Elrow  ( https://www.youtube.com/watch?v=Qm3-F9xgJuk ), we brought a boombox, bongos, zebra, monkey, flamingo and a palm tree. We did this because we thought it would add more excitement to the event and help portray the jungle theme in a fun way.

Article for The Verse

To promote the event and have a broader audience we decided to ask the Verse, the University’s newspaper, if they could publish an article about the event. The idea was also to put the light on CM4K, the community Cham gi Wadu and their project to create a community radio station. We have posted these on our Facebook page too so that when people are invited to the event they are able to check out their music which will ultimately generate a larger interest for people to come to our event. As our main advertisement we chose to use Facebook to create an event and add everyone we know from our home towns and from Brighton. Jess made the event and then added the rest of us as hosts which meant we could add our friends. From there people could either say whether they are interested, going, or not going. Finding The Venue

Sinead suggested ‘Al Duamo’ as a friend had previously ran a similar event in the basement of the venue, Heather then rang the venue asking for a quote and they emailed us back saying that the date we wanted (23rd of May) was available from 21.30-03.30 but would cost £30 per hour, so for the 6 hours would cost £180 which exceeded our planned budget. Problems with the Volks venue

After talking to the event organiser of Volks nightclub via email, we decided to visit it ourselves during the day so we could talk face to face as we thought it would be easier to discuss details in person. We had a few enquiries about the two dates suggested to us as our event is first and foremost a fundraiser we needed to discuss the issues of how we would raise our money.
